HR Manager
Job description:
A. Payroll Management
- Manage and oversee the monthly payroll process to ensure accurate and timely salary payment.
- Verify attendance, overtime, allowances, commissions, incentives, deductions, unpaid leave, and other payroll-related items.
- Review payroll reports and ensure accuracy before submission for management approval.
- Coordinate statutory contributions and payroll-related matters, including EPF, SOCSO, EIS, PCB, and other applicable requirements.
- Maintain accurate and confidential payroll records.
- Investigate and resolve payroll discrepancies and employee salary-related enquiries.
- Ensure payroll information is handled with strict confidentiality.
B. Compensation & Benefits
- Manage the companys compensation and benefits programmes.
- Review and administer salary structures, allowances, incentives, commissions, bonuses, and other employee benefits.
- Coordinate salary reviews, increments, promotions, and adjustments based on company policy and performance.
- Monitor market practices and recommend improvements to compensation and benefits where appropriate.
- Ensure employees receive accurate information regarding their salary and benefits.
- Maintain proper records of employee compensation and benefits.
C. Employee Relations & Staff Issues
- Handle employee enquiries, grievances, complaints, and workplace concerns professionally and confidentially.
- Investigate employee misconduct, disciplinary matters, workplace incidents, and complaints when required.
- Conduct counselling and disciplinary meetings together with the relevant managers.
- Prepare and issue appropriate HR documentation, including warning letters, show-cause letters, and other disciplinary correspondence where necessary.
- Advise management and department heads on employee relations and disciplinary matters.
- Ensure staff issues are handled fairly, consistently, and in accordance with company policies.
- Maintain strict confidentiality regarding sensitive employee information and cases.
D. Probation & Performance Management
- Monitor employee probation periods and ensure timely completion of probation assessments.
- Coordinate confirmation, extension, or termination of probation where applicable.
- Implement and monitor employee performance management processes.
- Assist managers in setting KPIs and performance expectations.
- Handle performance improvement plans for underperforming employees.
- Maintain proper documentation of employee performance and assessments.
F. HR System Management
- Manage and maintain the companys HR system and employee database.
- Ensure employee information, attendance, leave, payroll, and other HR records are accurate and updated.
- Monitor system functionality and troubleshoot HR system issues.
- Coordinate with HR system vendors or IT support when required.
- Ensure proper user access, data security, and confidentiality of HR information.
- Generate HR reports and analytics from the HR system for management review.
- Identify opportunities to improve HR processes through system automation and digitalisation.
G. Leave, Attendance & Workforce Administration
- Monitor employee attendance, lateness, absenteeism, overtime, and leave records.
- Ensure proper approval and documentation of leave and overtime.
- Monitor attendance trends and highlight recurring issues to management.
- Ensure accurate integration of attendance information with payroll.
- Work closely with department heads to address attendance and manpower issues.
H. HR Policies, SOP & Compliance
- Develop, review, and update HR policies, procedures, employee handbooks, and SOPs.
- Ensure employees understand and comply with company policies and procedures.
- Ensure HR practices are aligned with applicable Malaysian employment laws and regulations.
- Maintain proper HR documentation and records for audit and management purposes.
- Keep management informed of significant changes in employment requirements that may affect the company.
I. HR Reporting & Management Support
- Prepare monthly and ad-hoc HR reports for management.
- Monitor and report on headcount, turnover, absenteeism, payroll costs, overtime, recruitment, and employee performance.
- Provide HR analysis and recommendations to support management decision-making.
- Maintain accurate HR statistics and documentation.
- Support management on HR and operational projects as required.
Qualifications:
- Bachelor's Degree in Human Resource Management, Business Administration, Psychology, or a related field (required).
- Minimum of 5 years of experience in human resources, with at least 2 years in a managerial role.
- Professional HR certification is preferred (e.g. PHR, SPHR, SHRM-CP, SHRM-SCP, or MIHRM certification/membership).
- Strong knowledge of the Employment Act 1955, Industrial Relations Act 1967, other relevant Malaysian labour laws, HR policies, and best practices.
- Excellent communication, interpersonal, leadership, organisational, and problem-solving skills.
- Ability to work effectively in a fast-paced and dynamic environment.
- Proficient in HRIS, Microsoft Office applications, HR management software, and HR analytics/reporting tools.
- Fluent in both spoken and written English and Mandarin to effectively communicate with the Managing Director and Mandarin-speaking stakeholders.
- Must be female due to female working environment
